What it is

Technicians shouldn't drive back to the office with paperwork, and the office shouldn't have to call them to ask if a job is done. A field service app puts both on the same job record, from first call to final invoice.

A field service management app runs the work your team does at customer sites: installations, repairs, inspections, maintenance visits and deliveries. The office side handles scheduling, dispatch and billing. The mobile side gives each technician their jobs for the day, the customer and equipment history, the checklist to follow and a way to capture photos, parts and signatures on the spot.

It replaces paper job sheets, whiteboard schedules, group texts and the evening routine of typing up the day's work. Those habits leave gaps: jobs closed without the right photos, parts used but never billed, and invoices that go out a week after the work is done.

With the app in place, dispatchers see who is where and what's finished. Technicians arrive with the information they need and complete the paperwork before they leave the driveway. Invoices can go out the same day, with the evidence attached.

Why organizations reach for this

Signs you might need one

If several of these sound familiar, a system of this type is probably worth a conversation.

  • Technicians fill in paper job sheets that someone in the office re-types every evening.
  • Dispatch runs on phone calls and group texts, and the whiteboard is out of date by mid-morning.
  • Jobs get billed days or weeks late because the paperwork hasn't come back.
  • Parts used on site don't always make it onto the invoice.
  • Customers dispute work because there's no photo, timestamp or signature showing what was done.
  • Your current app stops working when technicians lose signal in basements, mechanical rooms or rural areas.

What's usually included

The building blocks

A typical system of this type includes most of the following. Your version keeps what you need and leaves out what you don't.

  • 01

    Scheduling and dispatch board

A drag-and-drop board of jobs, technicians, skills and travel time, so the office can plan the day and reshuffle it when an emergency call comes in.

  • 02

    Offline-first mobile app

Job details, forms and photos work without signal and sync automatically once the device reconnects.

  • 03

    Digital job sheets and checklists

Step-by-step forms for each job type, with required fields and pass or fail checks so nothing gets skipped.

  • 04

    Photos, notes and signatures

Before-and-after photos, notes and customer signatures captured on site and attached to the job record.

  • 05

    Customer and equipment history

Previous visits, installed equipment, serial numbers and warranty status on the device before the technician knocks on the door.

  • 06

    Parts and van stock

Materials logged against each job, van inventory tracked, and restocking flagged when levels run low.

  • 07

    Time and location tracking

Arrival, work and departure times recorded for each job, with location check-ins where your policy allows.

  • 08

    Same-day invoicing

Completed jobs become invoices with labor, parts and evidence attached, ready to send from the office or the device.

The mobile app keeps working without signal and syncs when it reconnects, so the office always sees the latest state of every job.

Systems it typically connects to

  • Accounting and invoicing (QuickBooks, Xero, Sage Intacct)
  • Maps and routing (Google Maps Platform, Mapbox, HERE)
  • Payments on site (Stripe Terminal, Square, PayPal Zettle)
  • SMS notifications (Twilio, Vonage, Plivo)
  • Inventory and purchasing (NetSuite, Cin7, Fishbowl)
  • CRM (HubSpot, Salesforce, Zoho CRM)
  • Vehicle telematics (Samsara, Geotab, Verizon Connect)
  • Payroll and timesheets (ADP, Gusto, Paychex)

Who it tends to suit

  • HVAC, plumbing and electrical contractors with crews on the road every day
  • Equipment suppliers running installation and maintenance contracts
  • Facilities management companies handling planned and reactive work across many sites
  • Inspection and testing providers that issue a certificate after each visit
  • Utility and telecom contractors working where coverage is poor

How it would be delivered

Four phases, each one usable

Durations are indicative for a typical scope. Your proposal will include a dated schedule.

  1. 01

    Ride-alongs and discovery

We spend time with technicians and dispatchers, on video or on site, to see how jobs really run, then agree on job types, forms and the first release.

    2–3 weeks
  2. 02

    Office and mobile design

Dispatch board and mobile screens prototyped together, then tested by technicians on the devices they actually carry.

    3–4 weeks
  3. 03

    Build and sync

The scheduling board, offline mobile app, sync engine and accounting integration, released to a test crew every two weeks.

    8–12 weeks
  4. 04

    Pilot crew and rollout

One crew uses the app on live jobs, their feedback shapes the final changes, and the rest of the team follows with training and support.

    3–4 weeks
